Position Summary

PWL’s Toronto office is a small, entrepreneurial, and close-knit team, and we’re looking for a Client Service Administrator who will fit well with our culture.

This key position combines client service and administrative support to our portfolio managers. You’ll play a vital part in the day-to-day tasks required to onboard, maintain, and service client accounts. You’ll ensure the smooth processing of documents, contribute to regulatory compliance, and deliver professional, timely, and accurate service to clients.

This is an internal administrative and support role, which is primarily non-client facing. However, your responsibilities will involve corresponding with clients through email and over the phone.

As a core member of the Client Services team, you’ll gain a deep understanding of financial services workflows while developing the skills and knowledge to advance in the industry.

Key Responsibilities

Client Operations & Service

  • Lead client onboarding and Know-Your-Client (KYC) updates, including account openings, transfers, and setting up access to our online client portal
  • Coordinate with the corporate Operations & Compliance team to ensure procedures are followed and up to date
  • Manage client service requests such as letters of direction, wire transfers, cheque requests, and address changes
  • Monitor and follow up on account transfers to ensure timely and accurate completion
  • Handle statement and report requests from clients and their accountants
  • Investigate and resolve operational and compliance-related queries

Client Relationship Management

  • Maintain CRM systems and client contact databases
  • Communicate directly with clients regarding service-related matters
  • Schedule client meetings
  • Coordinate and prepare boardrooms for in-person client meetings
  • Assemble pre-meeting documentation and checklists to support advisors

Administrative Excellence

  • Maintain well-organized client files and documentation
  • Set follow-up reminders and manage internal workflows
  • Prepare and track mail packages and coordinate cheque deliveries and pickups at our brokerage (National Bank Independent Network)
  • Participate in regular team meetings and debriefs to share updates, discuss procedures, and align on priorities
  • Serve as the team’s primary point of reference for changes to processes and internal systems

Qualifications

  • Post-secondary degree or an acceptable combination of education, training and/or related work experience
  • Administrative experience in the financial industry (especially with a CIRO member) is an asset
  • Proficiency with CRM systems and ability to learn new platforms
  • Proficiency with Microsoft Office is required
  • Ability to learn and adapt to evolving regulations and processes
  • An enthusiastic team player who can work effectively with others both internally and externally
  • Excellent client communication skills and attention to detail
  • Committed to ethical and professional standards regarding confidentiality of client information
  • Detail-oriented and process-driven approach to work with strong work ethic, maturity, and commitment to client service
  • Ability to communicate honestly and openly with team members
