Comprehensive financial planning, tax, and estate services are delivered via PWL Conseil, and investment management services via PWL Capital, a CIRO member firm and broker-dealer. Both entities are wholly owned subsidiaries of PWL Wealth Management, which has over 90 employees across Canada.

Position Summary

We’re seeking an exceptional Executive/Personal Assistant to join a growing family office in the Ottawa-Gatineau region.
In this role, you’ll be the behind-the-scenes professional who keeps everything on track from household logistics and calendar management to travel planning and property coordination. This isn’t your typical assistant position; it’s an exciting and multifaceted opportunity for a sharp, solution-oriented professional to become an integral part of a family’s operations and grow alongside their expanding organization.

Key Responsibilities
Household & Property Operations
- Maintain household operations including supply management, inventory control, and daily logistics
- Coordinate property maintenance and oversee operations across multiple locations
- Manage relationships with contractors, vendors, and service providers for home and vehicle care
Family & Administrative Support
- Manage comprehensive family scheduling including calendars, appointments, and coordination between family members
- Oversee children’s activities, school communications, tutoring, and extracurricular scheduling
- Coordinate domestic staff scheduling and household management
- Provide executive-level administrative support across all family office functions
Travel & Event Coordination
- Plan and execute seamless travel experiences including flight bookings, accommodations, and detailed itineraries
- Organize memorable events from family gatherings to community initiatives
- Handle last-minute changes with ease and manage event logistics
Property Development & Special Projects
- Support property development projects including coordination with designers and contractors
- Research and manage furnishings, finishes, and specialized services
- Lead community engagement initiatives and support philanthropic activities
- Organize and manage family property operations including agricultural ventures
Financial & Concierge Services
- Track household and personal expenses with accuracy and transparency
- Manage vendor contracts, purchasing, invoicing, and service negotiations
- Provide concierge-level personal support and handle day-to-day errands
Qualifications
- 3+ years of experience as Personal or Executive Assistant, preferably supporting high-net-worth individuals or families
- Advanced proficiency in Google Workspace and productivity software
- Exceptional organizational skills with demonstrated ability to manage multiple priorities simultaneously
- Outstanding problem-solving abilities and proactive mindset
- Excellent written and verbal communication skills
- Valid driver’s license and access to reliable transportation
- Absolute discretion and ability to handle confidential information with complete integrity
- Flexibility to work outside traditional hours when needed
