Position Summary
We’re seeking a Lead, M&A Client Onboarding Specialist to take a central role in the onboarding and integration of newly acquired advisor teams and their clients into the PWL platform.
This role combines hands-on operational execution with leadership responsibilities. In addition to handling day-to-day onboarding tasks, you’ll lead the coordination of large-scale client transitions, participate in M&A deal discussions, analyze incoming household and account data, and prepare internal teams for each onboarding event.
You’ll play a key role in ensuring operational excellence, minimizing disruption for clients, and enabling incoming teams to thrive from day one. This position is ideal for someone who is detail-oriented, operationally strong, and eager to influence the growth of the firm through seamless advisor and client integration.
Key Responsibilities
M&A Integration Leadership
- Lead the end-to-end client onboarding process for newly acquired advisor teams and their clients.
- Act as the primary client onboarding operations liaison in M&A calls, contributing operational insights to integration planning.
- Analyze household and account-level data to inform onboarding timelines, resource needs, and segmentation strategies.
- Prepare internal staff and systems for incoming teams, ensuring a coordinated and informed onboarding experience.
- Maintain onboarding playbooks and ensure consistency in processes across deals.
Operational Activities:
- Coordinate Client and operational onboarding activities with internal teams and the onboarding advisor team
- Defining data requirements and coordinate data gathering with the new advisor team to support the client profile creation, account opening and account transfer.
- Work alongside the Operations team to ensure client profiles and account opening documents are successfully created and opened at the custodian and in downstream systems.
- Work alongside the Operations team to create, submit and track all transfer forms to transition the client’s assets.
- Develop and implement tracking and progress reporting to support both the account opening and transfers processes
- Work with MidOPs team to monitor fee group creation and setup
- Conduct comprehensive audits of fees during first three months to ensure proper household setup
- Work alongside internal teams and the advisory team to define operation cutoffs and kickoffs dates to smooth client transition
System & Product Implementation:
- Coordinate data loading across required systems (CRM, PureFacts, Data Lake, and other platforms) to support the onboarding tasks
- Determine optimal timing for data migration – identifying go-live critical data versus post-implementation loads
Training & Process Documentation:
- Develop comprehensive training materials and schedules tailored to the acquired team
- Deliver training on operational processes and applications to the operation resources on the advisor teams
- Document and refine the advisory team onboarding process by creating tracking checklists and supporting documentation.
Qualifications
- Investment industry experience with understanding of registered accounts, tax implications, and regulatory requirements
- Experience with bulk client/account transfers or advisor book transitions is an asset
- Administrative experience with an CIRO dealer member is an asset
- Proficiency with CRM systems and investment platforms
- Proficiency with Microsoft Office is required
- Experience working with NBIN is an asset
- Securities license or completion of the required exams (CSC, CPH) is an asset
- Strong interest in developing toward investment advisory role
- Excellent internal and client communication skills and attention to detail
- Ability to communicate honestly and openly with team members
- Interest in developing toward roles involving operations project management or investment advisory support
